Microsoft Copilot for Australian SMBs — A Practical Guide

What Copilot actually does, what it costs, and whether your business is ready for it.

Copilot isn't magic. It's a very capable assistant that works best when your data environment is clean and your team is prepared to use it.

Microsoft Copilot has generated significant excitement — and a fair amount of confusion. For Australian SMBs, the key questions are practical: what does it actually do, what does it cost, and is our environment ready for it?

What Copilot actually does in each app

In Outlook, Copilot drafts email responses, summarises long threads, and flags important messages. In Teams, it takes meeting notes, generates action item summaries and answers questions about what was discussed. In Word, it drafts documents from brief notes. In Excel, it analyses data and surfaces insights. In PowerPoint, it creates presentations from existing content. In Microsoft 365 Chat, it searches your entire M365 environment to find any information on demand.

The key point: Copilot works with your own data. It drafts a client proposal based on previous proposals you've written. It summarises a thread from a specific client. It operates within your Microsoft 365 environment, governed by your existing access controls.

What it costs

Microsoft Copilot requires a Microsoft 365 Copilot add-on licence. This is on top of your existing Microsoft 365 subscription. The licence enables Copilot across all M365 applications for that user. We recommend a phased rollout starting with your highest-value knowledge workers.

Is your business actually ready?

Getting genuine value from Copilot requires three things: the right Microsoft 365 licensing, a clean and well-governed data environment, and proper configuration. Businesses with messy SharePoint structures, poor file naming, or inconsistent access controls get significantly less value from Copilot because it's working with disorganised inputs.

BrainTech IT offers a Copilot readiness assessment that evaluates your current M365 environment, identifies gaps, and creates a clear activation path that maximises productivity gains from day one rather than creating a novelty that fades after two weeks.
